The Appointment Departure window and “Depart” process allows a patient or patients to be marked as departed from an appointment, indicating the item is complete and the patient has physically departed the location.

This closes out the appointment, allowing the tracking of the full time of the appointment (for time charges and reporting), and prevents changes to the appointment. Only patients who have already been arrived can be departed.

Patients can be departed from the Appointment Scheduler or in the Appointment tab.

To depart an individual appointment, follow these steps:

  1. Click on the appointment in the Appointment Scheduler to populate the Appointment tab and click the Depart button or right-click on the appointment in the Appointment Scheduler and select Depart.

The Appointment Departure window displays.

  1. Departure Time – This defaults to the current date/time. Click the field to enter the date directly or click to select a date from a calendar. Then enter the time directly or click the clock icon to select a time.
  1. Click Save. The patient is departed and the status and status color updates in the Appointment Scheduler and Appointment window. No functionality (cancel, un-arrive, no-show) is available for the appointment.

Depart Patients for Group Appointments

Group appointments may involve multiple patients departing at varying times. There is no Depart option on the Appointment Scheduler, and departures are performed in the Patients tab and not in the Appointment tab. The Patients tab allows selected patients or the entire group to be arrived, departed, or marked as no-shows. To depart patients for a group appointment, follow these steps:

  1. Click on the appointment in the Appointment Scheduler to populate the Patients tab. Visits assigned to the appointment display in the list.

  1. Click on a patient in the list to select it. The Depart button is enabled.
  2. Click Depart. The Appointment Departure window displays.

  1. Departure Time. This defaults to the current date/time. Click the field to enter the date directly or click to select a date from a calendar. Then enter the time directly or click the clock icon to select a time.
  2. Click Save. The patient is departed and the status is updated in the list. The status and status color remain Arrived in the Appointment Scheduler and Appointment tab.

When all of the patients are departed, the status in the Appointment tab and in the Appointment Scheduler is updated to “Departed.”
