The Collections application area and workspace is used to handle the collection of payments for accounts that have been billed. The tabs and Quick ActionClosed applications allow users to perform collection actions, mark bad debt accounts, and select and release refunds.

The Collection Event tab allows the user to select billing events that require work, populating the Open & Pending Actions child tab and others. Other tabs can be used to update patient, insurance, guarantor, and visit information.

Quick Action options allow users to perform account balance transfers, enter payments, rebill a billing event, mark accounts for bad debt review, and mark and release refunds for accounts with credit balances.

Collections Workspace

The Collections workspace gives the user access to work queues, tabs, and Quick Actions related to collections. The data panel displays patient data (name, status, balance, etc.) and the User Productivity chart.

The Collections workspace is used to work actions for collection events, add adjustments and/or payments, and update various patient, insurance, and visit information. The Collection Event tab allows the user to select collection events that need to be worked. The EOBClosed/Denials tab is used to view claim and service line denials.

Quick Actions allow users to rebill a billing event, transfer a balance, post payments (patient and insurance), handle bad debt, and manage refunds.

Collections Scorecards

The Collections application area has multiple scorecards that measure productivity by work queue and by event.

Collections Scorecard

The Billing scorecard displays the following information in the primary panel:

  • Period – The selected Date Grain (Day, Month, or Quarter).
  • Prev. Balance – Ending balance from prior period.
  • End Balance – Sum of balances of all open items in the selected work queue or queues.
  • Attrition Rate – The difference between the previous balance and ending balance, divided by days in the period.
  • Turnover (Days) – Records processed divided by ending records.
  • Prev. Records – Ending record from the previous period.
  • Comp. Records – Completed records for the period.
  • End Records – Count of all records in the selected work queue or queues.
  • Avg. Queue Age – Total days of open records in queue(s) divided by ending records.
  • Avg. Work Time – Average amount of time (in minutes) to perform actions in queue(s).
  • Max Queue Age – Maximum age of a record in queue(s).

The other panels and charts allow the user to drill down to totals by work queue and user.

Collection – Event Scorecard

The Billing – Event scorecard displays the following information in the primary panel:

  • Period – The selected Date Grain (Day, Month, or Quarter).
  • Total Events – Total number of events during the period.
  • Avg. Time – Total events divided by total minutes worked.
  • Total Min – Total time in minutes worked.
  • Daily Events – Total events divided by number of days in the period.
  • Daily Time – Total time divided by number of days in the period.

The other panels and charts allow the user to drill down to totals by event () and user.

Collections Dashboards

The Collections application area includes dashboards that display a variety of financial and performance information, including trending data. The following dashboards are available in Collections:

  • A/R Days in Collections – Displays the length of time it takes to collect outstanding accounts receivable. The A/R ratio calculation divides the outstanding total A/R by average daily charges (over the previous 90 days).
  • Aged Trial Balance – Displays the total accounts receivable balance (sum of charges, payments, and adjustments for all accounts).

Collections Work Queues

The Collections workspace includes a variety of standard work queues designed to complete tasks on visits/patient accounts/billing events related to collections.

Collections’s base set of work queues includes:

  • A/R Hold – Displays billed billing events that have a balance greater than zero and have had an A/R hold applied. The queue is sorted by the date the episodes entered the work queue.
  • Credit Balance – Displays any billing events with a balance less than zero. The queue is sorted by the date the episodes entered the work queue.
  • Collector-specific work queues – These queues would be specific to a collector and would be named for that collector, whether it is an individual or a generic name. Displays accounts with open actions scheduled for the current date or earlier, assigned to the collector, with a balance, not in bad debt, and with no A/R hold. The queue is sorted by scheduled date then visit number.
