The Cancel Appointment window allows a fully scheduled appointment to be canceled while providing a reason, which is required. The reason is required for tracking when and why an appointment was canceled in order to keep accurate information in RCM Cloud®.

Reservations can be canceled without providing a reason. Appointments and reservations can be canceled from the Appointment Scheduler or in the Appointment tab.

To cancel an individual appointment, follow these steps:

  1. Click on the appointment in the Appointment Scheduler to populate the Appointment tab then click the Cancel button or right-click on the appointment in the Appointment Scheduler and select Cancel.

The Cancel Appointment window displays.

  1. Provide a cancel reason by either:
    • Cancel Reason – Click the dropdown and select a pre-defined reason. The pre-defined reason’s text displays in the Cancel Text field.
    • Cancel Text – Enter a free-form cancel reason. If a Cancel Reason was selected in the dropdown, it clears when text is edited in this field.

  1. Click Save. The appointment is canceled and removed from the Appointment Scheduler.
Cancel Recurring Appointments

A single recurring appointment, appointments after the selected appointment, or the entire series can be canceled. To cancel a recurring appointment, follow these steps:

  1. Click on any appointment in the series in the Appointment Scheduler to populate the Appointment tab and click the Cancel button or right-click on the appointment in the Appointment Scheduler and select Cancel. The Cancel Appointment window displays.

  1. Select a cancel occurrence option from the following:
    • This occurrence only – Click to cancel the specific appointment.
    • All remaining occurrences – Click to cancel all appointments in the series after the selected appointment.
  1. Provide a cancel reason by one of the following:
    • Cancel Reason – Click the dropdown and select a pre-defined reason. The pre-defined reason’s text displays in the Cancel Text field.
    • Cancel Text. Enter a free-form cancel reason. If a Cancel Reason was selected in the dropdown, it clears when text is edited in this field.

  1. Click Save. The appointment or appointments are canceled.
Cancel Reservations

Reservations do not require a cancel reason. They can be canceled from the Appointment Scheduler or in the Appointment tab. To cancel a reservation, follow these steps:

  1. Click on the reservation in the Appointment Scheduler to open the Appointment Details window and click the Cancel button or right-click on the reservation in the Appointment Scheduler and select Cancel. The reservation is removed from the Appointment Scheduler.
