ADT/Registration Overview

The Registration application area and workspace is used to handle the admission, discharge, and transfer functions for the RCM Cloud® patient access system.

A variety of tabs and Quick Actions support the main components of Registration:

  • Admissions – The patient’s entry into the facility and into the RCM Cloud® system.
  • Discharge – The patient’s exit from the facility, which means the visit is ready for coding in the system.
  • Transfer – The transfer of a patient from inpatient to outpatient status or vice versa, or to physically change the patient’s room/bed.

Registration also provides Stockell Standard HL7 transaction-based message sets for communication with interface engines for external systems.

The user can add new patients or new visits for existing patients, or register pre-admit visits using the Registration workspace. Various tabs allow the user to manage patient demographic and visit information, along with insurance and insurance authorization information.

Quick Actions allow users to print admit forms, cancel visits, discharge and cancel discharges for visits, transfer a patient’s classification (inpatient or outpatient) or room, and assign beds for an outpatient.

Registration Workspace

The Registration workspace gives the user access to work queues, tabs, and Quick Actions related to registrations. The data panel displays patient data (name, status, balance, etc.) and the User Productivity chart.

The Registration workspace is used to add patients and visits and update existing patient, insurance, and visit information. Insurance authorization, medicare secondary payer information, and legal information can also be managed.

Quick Actions allow users to discharge and transfer (admission type and room/bed) visits. They also allow the user to cancel admissions and discharges.

Registration Scorecards

The Registration application area has multiple scorecards that measure productivity by work queue and by event.

Registration Scorecard

The Registration scorecard displays the following information in the primary panel:

  • Period – The selected Date Grain (Day, Month, or Quarter).
  • Prev. Balance – Ending balance from prior period.
  • End Balance – Sum of balances of all open items in the selected work queue or queues.
  • Attrition Rate – The difference between the previous balance and ending balance, divided by days in the period.
  • Turnover (Days) – Records processed divided by ending records.
  • Prev. Records – Ending record from the previous period.
  • Comp. Records – Completed records for the period.
  • End Records – Count of all records in the selected work queue or queues.
  • Avg. Queue Age – Total days of open records in queue(s) divided by ending records.
  • Avg. Work Time – Average amount of time (in minutes) to perform actions in queue(s).
  • Max Queue Age – Maximum age of a record in queue(s).

The other panels and charts allow the user to drill down to totals by work queue and user.

Registration – Event Scorecard

The Registration – Event scorecard displays the following information in the primary panel:

  • Period – The selected Date Grain (Day, Month, or Quarter).
  • Total Events – Total number of events during the period.
  • Avg. Time – Total events divided by total minutes worked.
  • Total Min – Total time in minutes worked.
  • Daily Events – Total events divided by number of days in the period.
  • Daily Time – Total time divided by number of days in the period.

The other panels and charts allow the user to drill down to totals by event () and user.

Registration Dashboards

The Registration application area includes dashboards that display a variety of performance and trending information. The following dashboards are available in Registration:

  • Insurance Verification’s – Displays the percentage of insurance that have been verified.
  • Insurance Verification Errors – Displays the percentage of insurances that were processed via electronic verification and returned errors.
  • Registration Quality – Displays the percentage of quality fields that have been updated. There are 56 fields monitored, including fields in patient (name, birth date, address), insurance (insurance plan, policy begin and end dates, pre-authorization), guarantor (name, address, Social Security Number), subscriber (name, relationship, birth date), physician (name for admitting and attending physician), and visit (admit date, service, patient type) tabs.
