A visit can be added for an existing patient. The patient’s demographic information is automatically carried over to the new visit.

Only name, sex, and visit information (location, patient type, service, admit source, and admit type) are required to create a visit.

To add a visit, follow these steps:

  1. Select a visit from a search or work queue.

  1. Click the Add Visit button . The Visit Determination window of the registration wizard displays with the patient’s name, sex, date of birth, and Social Security number in the header.

  1. Location – The dropdown menu defaults to the user’s current location. Click the dropdown and select a location. A user may have rights to multiple locations.
  2. Patient Type – Click the dropdown and select the patient type for the visit. The type must correspond with the Admit Type and is used to classify patients for room charging, the general ledger, and reporting. Depending on the patient type selected, other options may display:
    • Group ID. Displays when a group patient type is selected. The visit is associated with a group for billing purposes. The group is billed instead of the individual patient. Enter the code in the first field or enter all or part of the description in the second field. An autocomplete list with all descriptions matching the entered letters displays (after two letters are entered). Click on a description to select it. The code and description fields are automatically populated with the selected code information.

    • Mother’s Visit No – Displays when a newborn patient type is selected. The newborn is automatically linked with the mother and her guarantor, insurance, relative, and insurance information. Enter the visit number in the first field or enter all or part of the last or first name in the second field. An autocomplete list with all names matching the entered letters displays (after two letters are entered). Click on a name to select it. The visit number and name fields are automatically populated with the selected visit information.

  1. Service – Click the dropdown and select the service being performed during the visit. The service helps determine how the visit is charged if the patient is placed in a room/bed.
  2. Adm Source – Click the dropdown and select who or what entity (admissions source) is sending the patient to be admitted for the visit.
  3. Admit Type – Click the dropdown and select the inpatient or outpatient admission type for the visit. If an inpatient type is selected, an inpatient option must be selected in the Patient Type dropdown, and an outpatient option must be selected for an outpatient type.

  1. Click Next – The Patient Address window displays with existing patient information.

  1. Street – Enter the mailing address. Information can be entered on multiple lines.
  2. ZIP Cd – Enter the ZIP code for the address (The City and State fields automatically populate.) or begin to enter the name of the city in the City field. An autocomplete list with all cities matching the entered letters displays (after two letters are entered). Click on a city to select it. The State and ZIP/PC automatically populate.
  3. Preferred Method – Click the option for the patient’s preferred method of contact:
    • Phone – Enter the phone number, including the area code, into the field.
    • Text – Enter the phone number, including the area code, into the field.
    • Email – Enter a valid e-mail address.
  4. Click Next. The Insurance window displays. If there is an insurance or insurances associated with a previous visit that is still effective as of the current date, it displays in the Select Valid Insurance(s) list. The insurance will be selected by default. Uncheck the box to not apply the insurance to the new visit.

Note: If the facility uses electronic insurance verification, The Verify button will be enabled when the insurance is clicked on. Click the Verify button to initiate electronic verification. For more information, see Electronic Insurance Verification.

  1. Click Next. The Admitting Diagnosis window displays.

  1. Complete one of the options to add an admitting diagnosis.
    • Diagnosis – Enter the code in the first field or enter all or part of the description in the second field. An autocomplete list with all descriptions matching the entered letters displays (after two letters are entered). Click on a description to select it. The code and description fields are automatically populated with the selected code information.
    • Freeform – Enter a diagnosis or any additional diagnosis information into the free-form text field.

  1. Click Next. The Patient Registration window displays.

Note: Leave the Admit Date field blank and click Next to register the visit as a pre-admit.

  1. Admit Date – Click the field to enter the date directly or click to select a date from a calendar. Then enter the time directly or click the clock icon to select a time. The time defaults to the current time when the date is set.
  2. Room/Bed – Enter the room/bed combination (for example, room 330, bed 1 is 330-1) or click the Bed Board button, select a nursing station, and select a room/bed.
  3. URN – Defaults to the patient’s existing URN. Depending on configuration, this field may be enabled.
  4. MRN – Defaults to the patient’s existing MRN.
  5. Visit No – Depending on configuration, this field may be enabled. Enter the visit number.

  1. Click Next. The visit is created and displays and is selected in the Registration work queue.
