This application area’s workspace has a variety of Quick Actions available. The Quick Actions and their functionality are described in this section.

Keep in mind that an individual user or role may not have access to all of the tabs listed.

Med. Rec. Merge

The Medical Record Merge Quick Action is used to transfer the association of individual visit numbers from one Medical Record Number (MRNClosed) to another where the MRN exists in the same location. It will not move visits from their original location to a different location.

To merge medical record accounts, follow these steps:

  1. Click the Med. Rec. Merge button. The Medical Record Merge window displays. If a patient was selected in a work queue or patient search, that information defaults to the From information section.
  2. From Location – The dropdown menu defaults to the user’s current location. Click the dropdown and select a location. A user may have rights to multiple locations.
  3. From MRN – Enter the MRN in the first field or the patient’s name in the autocomplete field (clicking a suggested name to select it). The MRN autocomplete menu displays the patient name, date of birth, sex, and Medical Record Number. This identifies the MRN that will have visits selected for transfer. The MRN’s visit display in the list.
  4. SSN – The patient’s Social Security Number displays.
  5. DOB – The patient’s date of birth displays.
  6. Phone No – The patient’s phone number displays.
  1. To Location – The dropdown menu defaults to the user’s current location. Click the dropdown and select a location. A user may have rights to multiple locations.
  2. To MRN – Enter the MRN in the first field or the patient’s name in the autocomplete field (clicking a suggested name to select it).  The MRN autocomplete menu displays the patient name, date of birth, sex, and Medical Record Number. This identifies the MRN that visits will be transferred to.

  1. To transfer:
    • Click on the checkbox for an individual visit or multiple visits.
    • Click the checkbox above the list to select all of the visits.
  1. Click Save. One of the following messages display:
    • If only selected visits were transferred, a successful database update message displays.
    • If all visits were transferred, the Replace window displays with a message asking if the user wants to replace the To URNClosed with the From URN. Click Yes to replace the URN or No to retain the URN.

    • For either option, the Patient Delete? window displays with a message asking if the user wants to delete the From patient information. Click Yes to delete the information or No to retain the information in MPI Only status.

External Coder

The External Coder Quick Action allows RCM Cloud® Abstracting to interface with an external coding system to help provide coding for diagnoses, procedures, CPT/HCPCS, etc. This presents a real-time, interactive workflow for abstracting users without interruption. Hospital information is transferred to the coding system, and coding and grouping information is returned.

RCM Cloud® interacts with the following coding software:

  • 3M™ Coding and Reimbursement System
  • TruCode®

Clicking the Quick Action launches a direct interface with the external coding system, which is installed on a local machine and helps evaluate and apply coding, grouping, and reimbursement rules. Abstracting gathers visit information and sends it via an interface (using a configurable .INI file specific to the encoder) to the external coder, where the information is processed and coding is sent back to Abstracting.

By interfacing data with the external coding system, there is no duplicate entry in separate systems. Both the preliminary data (procedures, diagnoses, etc.) and the result of the coding process are interfaced between the systems. The patient will be marked as “Complete” and necessary data updated in Abstracting.

Define External Coder

The external coding system accessed by the External Coder Quick Action can be defined using the Location Registry key EXTERNAL_CODER. The key defines the specific system, which may also require an .ini (initialization) file.

RCM Cloud® interacts with the following coding software:

  • 3M™ Coding and Reimbursement System
  • TruCode®

Configuration

For this configuration, use Location Maintenance with the settings described in the table below.
